FINANCE REPORT
Balance at 10/01/12 was £ 9, 257.51.
50/50 CLUB
Members and balance to be reported at next meeting.
To increase membership, it was agreed that a communication (to raise awareness to new parents
and as a reminder to existing parents) would be a good idea. Alison Dixon to follow up with Jackie
Thompson.
MATTERS ARISING
SCHOOL DISCO
2nd March 2011 is the agreed date for school disco at the junior school.
Float for refreshments and £70 cash payment on the evening for Dave Freemantle required. Dave to
arrive at 3.30. Volunteers to setup room requested. Water to be available on the night.
Co-ordinate volunteers for the night. 3 parents in addition to PTA members proposed – Melanie
Thornhill
Fire warden briefings will be needed before the each session.

MOTHERS DAY
PDSA were asked to support funding for gifts. Melanie Thornhill to propose suitable gift with cost
and advise Alison Dixon.
Karen Fakes to confirm number of gifts required.
Jo Tamcken offered to help with catering on the day.
DIAMOND JUBILEE
The PDSA would like to support the school’s commemoration of the diamond jubilee with
something that would benefit the school. New picnic tables and/or bench with a plaque were
suggested. To be discussed further at next meeting.
FUNDRAISING IDEAS
Some new ideas were proposed:
· Sponsored bounce. Look into costs for bouncy castles that can be used inside and out –
Debbie Williams. Debbie advised that the cost for unsupervised indoor / outdoor castle
would be £45 per day. Public liability insurance to be clarified. Parental content also
needed.
· PDSA stall at Thatcham Family fun day (24th June 2012).
· Coppers totaliser. It was suggested to use smartie tubes or filling jam jars.
· Recipe sharing/trading idea.
· Sports day (29th June 2012) refreshments and car wash (year 6 and above only).
· Summer BBQ quiz teacher baby competition.
· Spelling Bee.
· Wine tasting evening.
· Bingo night.
· Art exhibition.
· Promises auction.
· Jumble sale
It was suggested that an annual events calendar should be created – Alison Dixon / Binu Peake
Email to canvas parents preferences for events with or without their children – Emily Pearson
GENERAL
· It was suggested that a team photo of PDSA members should be displayed in reception
· Contact sheet with preferred method of contact to be circulated – Binu Peake
· Set up email account for PDSA use – Alison Dixon
· Obtain annual gambling license (required for raffle tickets) – Debbie Williams
· It was suggested to create signs to promote the PDSA for new volunteers at the school disco
and coffee stop sessions.

MATTERS ARISING
CHRISTMAS FAYRE DEBRIEF
Was viewed as a great first success that was lots of fun, and raised £2,300 profit plus additional £800
matched funding.
Ideas for improvement
· Use a bidding board for raffle prizes
· Increase the price of raffle tickets
· Consider one raffle ticket book per child at a higher price
· Make more tickets available on the day
· Proactive selling of raffle tickets at the school gates
· Consider using the same raffle ticket suppliers as the pre-school PDSA if this is cheaper
· Review contribution required from outside stalls holders – Suzi’s preserves will not be
invited back
· Microphone, plastic bags, bluetac, staple gun to be readily available
· Review physical position of the chocolate tombola stall
· Improve the visibility of PTA members on the event day (tabards, name badges)
· Consider offering hot food next year (e.g. sausage rolls)
· Agree post event cleanup plan
SCHOOL DISCO
2nd March 2011 is the agreed date for school disco at the junior school with sessions as follows:
· Session 1 - 4.30 p.m. - 5.30 p.m. Foundation
· Session 2 - 5.45 p.m. - 6.45 p.m. Y1 and Y2
· Session 3 - 7.00 p.m. - 8.00 p.m. Y3 and Y4
· Session 4 - 8.15 p.m. - 9.15 p.m. Y5 and Y6
Session 1 & 2 - £3 per ticket. Price includes entry, a bag of sweets, a drink and a Glow Bracelet.
Sessions 3 & 4 - £2.50 per ticket for entry only. Own money can be used to buy drinks, sweets
and glow bracelets/sticks.
Communication to be sent to the parents after half term detailing the date and session times – Emily

Create a template for the disco tickets to be printed on different coloured paper for each session (with
the exception of session 2 for Yrs 1 & 2 where the tickets should be on different colours for each year

· A reminder that all funding requests should be passed through Petrina Winsor before
requesting to the PDSA.
· Petrina Winsor is reviewing the funding request for some shading/shelter for Foundation and
Junior schools.

MATTERS ARISING:
CHRISTMAS FAYRE
Miss Beckett requested that all letters going out from PDSA be checked by her first.
The results of the Poster competition were -
Joanne Rimmington-Par from Avon Class in Year 3 – Prize family swim ticket from Kennet
Ellyn Page form Year 2 – Prize story book free from book club.
Not many posters seen around the Junior School – Action Debbie to check with office
It was suggested that all poster entries be displayed during the Fayre – Action Alison/Mel
Mel asked about advertising the event in shop windows etc. It was felt by the majority that the event
historically is very well attended and was aimed at friends and families of the school. It was
suggested by Alison that we may be able to have a mention on Kick FM – Action Emily.
Raffle Tickets
It was agreed to send them out on Friday with the next request for donations and help.
A separate slip will be included with the tickets to explain about them.
Action – Miss Beckett to check letter and provide help for Alison to fill envelopes with tickets.
Tickets are due back in on 30th November, Jackie and Alison will take care of returned tickets/Money
and add to draw. Tracey advised that some stubs are returned without the money so to obviously
keep these out of the draw unless the odd bit of money is found.
Miss Beckett will also send out a letter to the juniors to ask for Chocolate donations for the tombola in
return for a games afternoon on 1st December.
School Stalls – Alison to e-mail a list to Debbie to add to the minutes.
Jackie has the trophy. This is to be presented to the winner of the Junior’s stall after the fayre. It was
agreed that each class should also take away their takings and cash up by Monday lunch time to see
who raised the most money and to complete their young apprentice duties.

Tracey asked why the PDSA agreed to fund the tables at the last meeting. It was explained that it
was to get the schools out of a real emergency as Mr Vincent currently had to carry tables between
schools.

MATTERS ARISING
SCHOOL DISCO
Was well received and went very well. From feedback received, water and cups together with
additional staff for junior school disco will be made available in future.
CHRISTMAS FAYRE
1250 raffle tickets are to be ordered for the Christmas Fayre. Prizes include £100 cash, Performing
Arts academy place worth over £200, Binatone Symphony 3325 digital cordless phones, and various
other voucher prizes.
Discussion took place regarding stalls for this year’s event on 3rd December at the Infant School 2-
4pm. 8 outside stalls and 11 for the junior school were proposed. In addition there will be a stall for
calendars, sweets, refreshments, face painting/nails, chocolate tombola, tombola and toy tombola.
Junior school classes are responsible for school stall theme, setup and operation. PDSA to fund £15
for each school stall. Additionally parents will be encouraged to support agreed stall ideas. Outside
stalls to donate £10 and raffle prize.
It was confirmed that Claire Lloyd Butler’s father would be Santa this year. Karen Fakes confirmed
that Helen Webb would be the fairy for Santa's grotto.

FUNDING REQUEST FOR LUNCHTIME TABLES
• Kerry Regan requested funding of £800-£900 for 4 tables and 8 benches to be used by PDI
and PDJ. Agreed by the PDSA.
HAPPY CIRCUS
General discussion took place about the possibility of hosting a ‘happy circus’ event. Helen
Beckett raised concerns about having a circus staying on our school ground. Feedback from other
schools suggested that although an event thoroughly enjoyed by the children only costs were
covered.

Session Three Years 5 & 6 8:00 - 9:00 – almost full
Session One £3 per ticket. Price includes a bag of sweets, a Panda Still drink and a Glow Bracelet.
Sessions Two & Three £2.50 per ticket. Own money to be brought to pay for sweets, Panda Still drinks and Glow Bracelets.
Dave Freemantle will be doing the disco.
Wendy Ord to shadow Tracey Ackrill at the event. Helen Beckett will have first aid key (cupboard not usually locked). Melanie Thornhill has list of all teachers/parents scheduled to attend the disco.

GOVERNOR REQUEST
- It was agreed to register Parsons Down School as a charity with the Greenham Common Trust in order to benefit from any grants offered by the Trust – Alison Dixon
TEACHER FUNDING REQUEST
- Mrs Quinton requested funding of £500-£600 for community blocks and storage for the Foundation Stage. Agreed in principle by the PDSA – Karen Fakes to communicate to Mrs Quinton.
